Invite your team: roles and permissions

What each ThreadWork role — Owner, Admin, Read-only — can see and do, and how location access is assigned.

Written by Vera Egli

A workspace is built for more than one pair of hands, and not everyone should be able to do everything. This article is the permissions reference — for the invite mechanics themselves (adding someone, pending invitations, joining a workspace), see Invite team members.

The three roles

  • Owner — the account that created the workspace. Has full control, including billing and subscriptions, and can't be removed or downgraded by anyone else.

  • Admin — can manage day-to-day workspace settings: locations, tone of voice, reply rules, and team members. Can't remove or change the Owner.

  • Read-only — can view everything (Inbox, Threads, Insights, Activity Feed) but can't make any changes: no editing drafts, no approving replies, no changing settings.

How to invite a teammate

  1. Open Settings

  2. Go to the Team tab

  3. Click on Add member

  4. Enter your teammate's Name & email address in the empty field.

  5. Pick their role (read-only/admin):

  6. Choose the locations you want to add the member.

  7. Click on Add member.

The team member will receive an invitation with a personal link. Until they accept, the invitation shows as pending and you can unsend the invitation if necessary.

ℹ NOTE

Team size doesn't affect your bill — pricing is per location, not per seat. See How ThreadWork pricing works.

Roles apply per location

When you invite someone, you also choose which locations they get access to. Their role decides what they can do. The locations you tick decide where they can do it — a regional manager, for example, can be an Admin for only the locations in their region and see nothing from the rest of the group.

Change a role or remove someone later

From Settings → Team, owners (and managers, if confirmed) can change a member's role or remove them. Removal takes effect immediately; the person's past actions remain in the Activity Feed for the record.

How to join a workspace (for the invited person)

Open the invitation link and sign in — or create your ThreadWork account if you don't have one yet (see Sign up and get into ThreadWork). You'll land directly in the workspace with the role you were given. If you're creating a fresh account, you can also choose Join with code on the workspace screen and enter the code from your invitation.

One person, several workspaces

The same ThreadWork account can belong to several workspaces — useful for consultants or group managers. Switch between them from the workspace switcher; your role can differ in each.
